General Description

The Special Assistant to the President oversees the organization and execution of special events for the Office of the President. This position also functions as the President’s Social Media Manager to develop, implement, and maintain the President’s social media strategy and facilitate brand awareness. Under the direction of the President, implements community and public relations strategies that advance the President’s goals with key external and internal constituents. Represents the President and College to the community at-large through the development and maintenance of relationships with key community groups, external agencies, and/or other interested parties. Works successfully with representatives from various organizations and neighborhoods with respect to the diverse populations within the communities, specifically collaborating with individuals, businesses, organizations and neighborhoods. Coordinates and maintains the President’s schedule and functions as the legislative assistant for bill tracking, filing Ethics Commission reports and event planning involving faculty, staff, students and elected officials.

Job Duties (Duties Assignment Statement)

Manage the President’s meeting, social and events calendar.

Maintain various databases such as contacts, phone log, events and social media.

Plan, organize, coordinate, promote, and facilitate special events, projects, and functions for the President of Oklahoma City Community College.

Coordinate and monitor event timelines and budgets.

Develop and implement a plan to support the President’s community and public relations goals and support of the overall goals of the College.

Serve as key point of contact for neighboring businesses, institutions, and residents, on behalf of the President. Initiates and supports opportunities for neighboring businesses, institutions, and residents to be engaged in campus life, issues or changes affecting them, in addition to addressing concerns.

Regularly attend meetings of neighborhood associations, chambers of commerce, city councils and other key associations and partners in the community. Represent the college at external partner events as requested by the President. Assists with communications with external organizations.

Writes news releases, profiles, and stories highlighting students and programs that support the President’s goals.

Conceptualizes, manages, organizes and supports college-wide and campus-based events, meetings, and other activities in consultation with the President including the preparation of invitations, programs, guest and RSVP lists.

Supports the President in promoting the college and liaising with the media, elected officials, donors, alumni and other key constituents as directed.

Provide guidance and support for special event committees at the direction of the President and Chief of Staff, including attending meetings, correspondence and follow-ups.

Manages the President’s presence on social media networking sites.

Supports special projects as directed by the President.

Performs other related duties as assigned.

Job Duties (Safety / Policy & Procedures)

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.

Minimum Education/Experience

A minimum of a Bachelor’s degree from an accredited institution. (Applicants must attach transcript conferring a Bachelor’s degree from an accredited institution.)

Three (3) years full time work experience in community development, marketing, public relations or similar related experience.

Required Knowledge, Skills & Abilities

Solid interpersonal skills are required with the ability to work with community and business leaders.

Ability to work well under pressure and be able to demonstrate successful administrative experience.

Strong organizational and management skills.

Strong written and oral communication skills are required with willingness to work flexible hours, nights, and weekends as needed to meet the needs of the position.

Physical Demands/Working Conditions

1. GENERAL PHYSICAL REQUIREMENTS:
Light work: The person in this position may occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently move about the OCCC campus and off-site outreach locations.

This position requires the person to frequently communicate with and listen to administration, faculty, staff, students, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position requires the person to frequently remain in a standing and stationary position.

This position requires the person to frequently operate a computer, other office machinery, and mobile devices to perform the essential functions of the position.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor, office setting.

Preferred Qualifications

Advanced Degree from an accredited institution.

Five (5) years full time work experience in community development, marketing, public relations or similar experience.

Work experience in a university or college setting.

Monday through Friday from 8:00 a.m. to 5:00 p.m. with frequent nights and weekend job responsibilities.
