General Description

The Financial Aid Student Assistant position is assigned to assist the Financial Aid Office front counter staff and receptionist to help students or prospective students by receiving forms, distributing forms, and providing general information about the financial aid process.
The Financial Aid Student Assistant position is responsible for assisting in the development and maintenance of individual student files, assisting with Financial Aid Office centralized filing system, assisting the Financial Aid Advisors with collection of data needed for reporting purposes and for data entry functions.

Job Duties (Duties Assignment Statement)

Assist in creating permanent student records for the central filing system using file folders and proper file labels

Pull forward files from prior years for each applicant for assistance who has a previous file on record

Combine previous student financial aid record with current year record to insure one central record for each student

Maintain current year files by adding additional data to the file during each year as needed

Assist all staff of the Financial Aid Office with efforts to purge old files of data no longer required

Collection and data entry of information necessary for College, State, and Federal Reports

Other duties related to record-keeping processes in the Financial Aid Office

Assist students at front counter and on phone by answering general financial aid questions.

Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.

Minimum Education/Experience

Current OCCC student enrolled in a minimum of 6 hours for the Fall or Spring semester or enrolled in a minimum of 3 hours for the Summer semester.

OR

Current OCCC student with a Federal Work Study award.

Required Knowledge, Skills & Abilities

Positive human relations/customer service skills.

Ability to complete tasks with attention to accuracy and detail.

Ability to effectively communicate both verbally and in a written format.

Basic computer skills.

Physical Demands/Working Conditions

1. GENERAL PHYSICAL REQUIREMENTS:
Sedentary work: The person in this position may occasionally exert up to 10 pounds of force to grasp, lift, carry, push, pull or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently communicate with and listen to students, administration, staff, faculty, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position frequently requires the person to operate a computer and other office equipment to perform the essential functions of the position.

This position requires the person to frequently operate equipment that involves repetitive motions of hands and wrists.

This position requires the person to perceive attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor, office setting.
