General Description

The Enrollment Planning Guide will provide customer service and assistance to students visiting the Office of Academic Advising and Self-Registration Area.

Job Duties (Duties Assignment Statement)

Provide customer service and assistance to those students visiting the Office of Academic Advising and Registration.

Register/assist students with self-registration into the Academic Advising waiting Room via Starfish.

Assist in the processing of Registration requests (Add/Drop courses, Section Changes, and Auditing courses) in an accurate manner and within the proper procedural guidelines associated with registration.

Assist in administrative and clerical duties associated with the Offices of Academic Advising, including: answering student questions (via phone, email or in person); scheduling appointments for Academic Advisors; scanning documents into the computer system; making sure all areas are stocked with proper materials (paper in printers, handouts, pens, etc.); and making sure area is free of trash and clutter.

Work with students one-on-one providing guidance and support in building a class schedule.

Work with students one-on-one or in small groups providing awareness, guidance and support on different OCCC computer based technologies (Email, Moodle, MyOCCC Portal, MineOnline, Academic Planning Software, general navigation of OCCC website).

Be knowledgeable of and have the ability to articulate the Office of Academic Advising Resources as well as other OCCC Resources.

Maintain a professional attitude and confidentiality (adhering to FERPA guidelines) regarding matters of students’ personal and academic information.

Role model appropriate professional behaviors to staff, students and others.

Job Duties (Safety / Policy & Procedures)

Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.

Minimum Education/Experience

Current OCCC student enrolled in a minimum of 6 hours for the Fall or Spring semester or enrolled in a minimum of 3 hours for the Summer semester

OR

Current OCCC student with a Federal Work Study award.

Required Knowledge, Skills & Abilities

Working knowledge of academic enrollment, graduation, employment, and/or transfer related functions; such as online enrollment, campus resources.

Positive interpersonal skills.

Effective written and oral communication skills.

Strong leadership skills.

Punctual and reliable.

Physical Demands/Working Conditions

1. GENERAL PHYSICAL REQUIREMENTS:
Light work: The person in this position may occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently communicate with and listen to students, faculty, staff, administration, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position requires the person to frequently remain in a standing and stationary position.

This position requires the person to frequently operate a computer and other office machinery to perform the essential functions of the position.

This position requires the person to frequently operate equipment that involves repetitive motions of the wrists, hands, and/or fingers.

This position requires the person to frequently position self to access materials or equipment that may be above head or at ground level.

This position requires the person to use upper and lower body to exert force up to 20 pounds to lift materials or equipment.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor, office setting.

Enrollment Planning Guides will be expected to work as needed up to 25 hours per week during the following hours.
Monday- Thursday 8:00am-6:00pm
Friday 8:00am-5:00pm
Additional evening and Saturday hours required during peak enrollment periods.
