General Description

This person will assist in general office operations including answering telephones, light word processing/typing, copying, faxing documents, assist students in training support areas, maintain and keep offices clean and orderly, maintain the integrity of confidentiality of all office information, check books and materials in and out for students, etc.

ESSENTIAL FUNCTIONS

Serve as a part-time receptionist, answer telephones and take telephone messages.

Assist in maintaining CT lab, classroom, and office areas.

Assist in preparing and faxing paperwork as requested

Assist in updating inventory and supplies.

Assist with the distribution of student time reports.

Contact agencies and other pertinent individuals as directed by CT Staff.

Provide support materials to students as needed.

Complete bi-weekly Time Entry Report.

Assist in directing students to appropriate staff.

Assist students in CT lab as needed.

Assist with Inventory.

Maintain and keep offices clean and orderly

Job Duties (Safety / Policy & Procedures)

Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.

Minimum Education/Experience

Current OCCC student enrolled in a minimum of 6 hours for the Fall and Spring semester or enrolled in a minimum of 3 hours for the Summer semester.

OR

Current OCCC student with a Federal Work Study Award.

Required Knowledge, Skills & Abilities

Basic computer skills and ability to answer multi-line phone.

Positive human relations skills

Ability to work flexible schedule and willingness to work up to 25 hours per week.

Positive oral and written communications skills.

Willingness to serve as role models for Career Transition Program students in the areas of communication, human relations, college success and office-related behaviors and skills.

Physical Demands/Working Conditions

1. GENERAL PHYSICAL REQUIREMENTS:
Sedentary work: The person in this position may occasionally exert up to 10 pounds of force to grasp, lift, carry, push, pull or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently communicate with and listen to administration, staff, faculty, students, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position frequently requires the person to operate a computer and other office equipment to perform the essential functions of the position.

This position requires the person to frequently operate equipment that involves repetitive motions of hands and wrists.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor, office setting.

Work Hours

This position works a maximum of 25 hours per week.

Work schedule is flexible depending on student class schedule and needs of the department; but will be scheduled Monday through Friday between the hours of 8:00 AM and 5:00 PM.
