General Description

The Center for Learning and Teaching (CLT) Assistant is an active member of the CLT Team responsible for creating a welcoming environment, supporting the CLT and VLC sessions and consultations, providing Level 1 technical support, and assisting the CLT Director with facilitating departmental travel, creating requisitions and associated file maintenance.

Essential Duties

• Effectively interact with and provide assistance to faculty, staff, students and the public regarding the Center for Learning and Teaching operations and faculty support.
• Assist in the creation and maintenance of a welcoming, pleasant environment conducive to collaboration and efficient work production through all points of contact including formal and informal verbal and written communications
• Maintain positive relationships with all departments to ensure effective and efficient operation for the CLT
• Facilitate and maintain scheduling of CLT learning spaces
• Update and maintain timelines related to enrollment reports for online course delivery
• Deliver and pick up materials as required
• Work in cooperation with the Center for Learning and Teaching team as needed to provide support and assistance for the department
• Ensures file management on an on-going basis
• Facilitate the completion of office inventory according to College procedures and submit for appropriate approvals within the timelines provided
• Serve as the Records Management Representative. Responsible for adhering to Records Management guidelines
• Advise the CLT Director of significant matters and support the leadership and members of management in the achievement of their goals and operational purposes
• Support the Center for Learning & Teaching course redesigns by transcribing notes and compiling them through the redesign process
• Schedule sessions and consultations for the Center for Learning & Teaching and Virtual Learning Center in Active Data Calendar and ASTRA
• Use Business Objects and Ellucian for enrollment queries and other for gathering data
• Effectively communicate technical and nontechnical information in a variety of contexts including providing Level 1 technical support
• Assist with special projects as required and provide committee support as requested by the Director of the CLT.
• Perform as a confidant in the handling of documents and information that flow through the office
• Assist with scheduling of appointments for the Director
• Assist with room reservations and other preparations for meetings, trainings, showcases, presentations, and Welcome Week
• Assist and support the setup of the Regents’ iPads for monthly board meetings
• Assist with the development and implementation of office procedures and practices that best meet the needs of the departmental team, faculty, and students.
• Prepare periodic budget reports for the Director to assist in proper management and supervision of funds
• Create purchase requisitions, monitor and maintain records of expenditures as needed by the CLT Director
• Assist with pertinent travel arrangements, including reconciliation of travel expenditures for the team according to College policies and procedures
• Use databases or spreadsheets to enter, revise, calculate, and retrieve data for reports
• Maintain knowledge of budget procedures
• Serve as property assistant, facilitating furniture and equipment acquisition, proper inventory procedures, and timely surplus
• Assist with the preparation and distribution of marketing materials and other CLT and VLC publications and correspondence

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC’s established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation and shelter in place drills and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.

Minimum Education/Experience

Successful completion of some college coursework.

Physical Demands/Working Conditions

1. GENERAL PHYSICAL REQUIREMENTS:
Light work: The person in this position may occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently communicate with and listen to administration, staff, faculty, students, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position requires the person to frequently move about the office and OCCC campuses to perform the essential functions of the position.

This position frequently requires the person to operate a computer, other office equipment, and mobile devices to perform the essential functions of the position.

This position requires the person to frequently operate equipment that involves repetitive motions of hands, wrists, and/or fingers.

This position requires the person to frequently position self to access materials that may be above head or at ground level.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS:
This position performs the essential functions in an indoor, office setting.

Currently:
Must be able to work at a computer and answer phone. May require pushing or lifting 25 lbs.
